Job Description
* Prepares and inputs payroll data through automated payroll system (Arbella currently uses ADP), including processing of manual adjustments such as additional pay for overtime, etc. in order to process and distribute payroll timely on bi-weekly basis for approximately 900 employees. Performs self check of work to ensure accuracy.
* In addition to the 26 regular payrolls each year, processes payrolls for three employee profit sharing/bonus plans and adjustment runs as needed.
* Responsible for preparing ad-hoc manual checks for involuntary terminations, special bonuses, deferred compensation, and stock option payments, etc.
* Accurately maintains payroll records within ADP that are in sync with HR records (e.g. FSA elections, 401K elections, employment verification, and salary/bonus information), with manager records (e.g. overtime hours, commissions, bonuses, and stock options) and with external agency information (i.e. garnishments and deferred compensation).
* Acts as an effective HR liaison works cohesively and closely with HR for all personnel payroll-related items.
* Completes all year-end duties related to reconciliation and distribution of W-2s.
* Promptly delivers reconciled month end, year end, and other requested ad-hoc financial reporting details and explanations as necessary to Accounting.
* Serves as resident expert and as primary contact with payroll vendor (ADP) on payroll software, and coordinates implementation of updated versions as needed (coordinating and interfacing with internal and external technology groups for efficiencies and special projects).
* Coordinates deferred compensation activity with the third party administrative vendor (Arbella currently uses The Pangburn Group).
* Maintains current knowledge of applicable state and federal wage, hour, and tax laws; elevates any new requirements to management and works collaboratively to ensure Arbella s adherence/compliance.
* Maintains accurate correspondence with payroll vendor for tax reporting and maintains a thorough understanding of Arbella s related obligations.
* Facilitates management and employee understanding of payroll procedures as needed; also ensures back up procedures and staff are in place in Payroll Administrator s absence.
* Serves as the primary resource of payroll-related information as requested by individual employees for their personal needs, or by HR, Finance, or other departments within the company as appropriate, or to facilitate the Finance Manager in requests from Internal Audit or any external auditors including but not limited to the IRS, DOR, financial statement auditors (currently E&Y), benefit plan auditors (currently McGladrey).
* Seeks ways to improve the effectiveness and efficiency of processing payroll.
* Ensures appropriate control procedures are recommended to Finance Manager for implementation as necessary, in order to mitigate the risk of fraud within the Payroll area. Ensures execution of control activities within the Payroll area, e.g. bi-weekly payroll audit.
* Ensures all payroll records are in compliance with Arbella s record retention rules.
* Ensure payroll processing is in compliance with Arbella s employee handbook, e.g. overtime pay.
* Maintains in fact and appearance the utmost level of confidentiality, integrity and trust.
* Maintains an approachable, engaged attitude and promotes positive customer service in all dealings internally and externally.
Maintain excellent constant working relationships with the following:
* Key contacts in HR and Finance, and other departments as applicable,
* Payroll vendor (ADP) representatives and is seen by them as the key contact at Arbella, and
* Other external agencies as applicable.
Strives to provide excellent customer service to all employees.

Bachelors Degree required
