Jobing Description

JOB PURPOSE:
Operates hospital switchboard and acts as the Receptionist at the front door. Also performs light clerical work including medical record assembly and mailing of correspondence.

RESPONSIBILITIES: (include, not limited to) Hours needed are:
4:30pm 8:30pm Mon, Tues & Wed
9:00am 7:00pm Sunday

Communications
Answer calls incoming hospital calls. Facilitates flow of incoming calls by problem solving and directing to correct extension. Signs for delivery of packages and letters, and notifies appropriate departments. Notifies staff of appointment arrivals. Issues temporary ID badges to visitors and ensures visitors sign in. Enforces hospital policy on visiting hours, and contacts nursing supervisor for exceptions. Sorts and distributes incoming mail and faxes that come into the switchboard. Activates hospital internal beeper/page system when necessary. Correctly implements hospital emergency codes by following written safety procedures. Follows specific instructions and protocols during other emergencies.

Administrative/Correspondence
Assembles and analyzes the medical records of discharged patients. Assembles packets of medical record forms to be used on the inpatient units. Enters all medical record Release of Information correspondence into disclosure log, addresses and posts medical record correspondence. Performs other light clerical duties as requested.

Requirements

MINIMUM QUALIFICATIONS:

Education: High school diploma or equivalent.

Experience: 1-2 years of previous experience operating a switchboard, inputting data entry, using a spreadsheet, and operating other office equipment.

Technical Skills: Computer skills; professional speaking demeanor, ability to multi-task.

Age and Disability: Possess knowledge and skills necessary to interact compassionately and appropriately with the behavioral health patients and their families.

Other: Able to maintain confidentiality at all times.
