Job Description

Position Summary:
Reporting to the Sr. Manager, Total Rewards, this position owns the timely completion of our US and Canada payrolls. This position ensures compliance with policies and legal requirements, and maintains a thorough knowledge and understanding of relevant payroll practices, state and federal laws as well as advancements in payroll technology. Supervises and coordinates activities of two (2) payroll specialists.

Major Responsibilities of the Position:

  • Liaise with HR to collect data for accurate & on time processing, including new hires, terminations, changes, commission payments, etc.
  • Ensure new hires' payroll is set up correctly, direct deposit, withholdings, etc.
  • View and audit bi-weekly payrolls before processing for 700+ employees (US, & Canada); audit includes validation of employee enrollment and changes in all company benefit programs (health, dental, life insurance, disability programs, flexible spending programs, retirement, etc.)
  • Oversee and own time and attendance system for non-exempt employees
  • Manage the payroll team workload to meet operational requirements
  • Manage and streamline new payroll processes
  • Process off-cycle payroll adjustments, as needed
  • Initiate process improvements and quality control measures
  • Prepare monthly, quarterly, annual & ad hoc payroll, financial and operational reports
  • Serve as finance team subject matter expert for any payroll related inquiries
  • Monitor the accurate processing of staff appointments, transfers, promotions and terminations
  • Prepare and review payroll account reconciliations
  • Maintain accurate time tracking balances
  • Maintain organized and secured payroll records
  • Manage employee expenses
  • Drive ongoing process improvement and increased efficiency within Payroll software
  • Project manage any needed upgrades, changes or implementation of Payroll software
  • Hire, train and develop staff to deliver best-in-class payroll service
  • Works with system programmers and administrators to achieve solutions and administer company payroll systems with outside service providers. Evaluates vendor performance and works independently to resolve problems

Your profile

Minimum Qualifications:

      • Bachelor's degree or equivalent experience
      • 5 + years of experience in calculating and processing payroll for a multi-location organization in the US as well as Canada
      • 3+ years of experience managing a payroll team
      • Experience with multiple payroll processing software
      • Prior experience with process improvement
      • Certified Payroll Professional designation preferred
      • Knowledge of accounting principles and practices
      • Knowledge of applicable US local, state and federal as well as Canadian Provincial rules and laws
      • Solid financial acumen
      • Proficiency in ADP Workforce Now
      • Experience with time management system; Kronos Workforce Ready preferred
      • Experience with SAP a plus.
